Guidelines for events at the West and East Campus for USI staff and authorised partners

Events are an important communication tool for the University and contribute significantly to its visibility, reputation and positioning. For this reason, every event promoted by USI must comply with specific fundamental guidelines to ensure visual and communicative consistency that aligns with the University's institutional image.

The Institutional Communication Service is available to the academic, administrative and student community to provide support for the organisation of events organised or co-organised by USI.

Announce the event
All public events organised by USI, held at USI, in collaboration with USI, or involving a USI academic or administrative representative must be reported to the Institutional Communication Service and added to the USI Events Calendar.

 

Freedom of expression and academic relevance
USI promotes freedom of expression as a fundamental aspect of academic life. The University ensures that its community members have inclusive and open spaces for debate that respect diverse opinions and foster mutual tolerance. Public engagement is a core part of the academic mission (third mandate) and is encouraged based on disciplinary criteria, academic relevance, and rigour. Members of the USI academic community can reserve spaces to organise public events related to their areas of expertise. The University does not tolerate positions that contradict established scientific principles, such as historical or climate change denial. Additionally, USI does not host public events that violate criminal law, particularly those related to incitement of hatred and discrimination.

  • Event spaces

    USI offers various spaces, allocated according to participant numbers and availability upon request.

    Exams and courses have priority when booking spaces.

    USI organisers and authorised partner organisers may request:

    • Aula Magna, West Campus
    • Auditorium, West Campus (only from 5:30 pm Monday to Friday, all day Saturday)
    • Aula polivalente, East Campus
    • Foyer, East Campus

    The booking of other spaces on campus is reserved exclusively for internal staff.

    Classrooms cannot be booked for future academic years until the official semester course timetable is published.

  • Event registration form

    To manage event registrations, we recommend using the Qualtrics platform. The use of alternative tools is subject to prior approval in terms of data protection by [email protected].

    For events that require a participation fee, requests must be submitted to the IT Service via the Service Portal at least 60 days in advance of the scheduled date.
  • Tech support

    The IT Service guarantees, upon request, early access to the classroom and preliminary technical training.
    USI staff can submit a request by opening a ticket via the Service Portal.

    Authorised partners will receive a special form via Classroom Management or from the Institutional Communication Service, which must be filled in with all the information relating to their event.
